Summit Sessions

Do I have to book on to individual sessions?

In short, no! For all virtual sessions, you’ll be able to access the virtual events throughout the course of the week by logging on to the dedicated delegate portal and tuning in when the session is live. In Hull, simply make your way to the location indicated in the agenda and grab a seat. 

How do I access the virtual sessions?

To access all virtual sessions, you’ll need to log in to the delegate portal.

To find out how to log in to the delegate portal, watch this short video.

Once you’ve logged in, click on the ‘watch live’ button in the purple toolbar. Sessions will appear at the time indicated in the agenda

 

Navigating the Platform

For our In-Person Delegates

I can no longer attend; can I transfer my ticket to someone else?

Replacement delegates can be nominated subject to an administration fee of £25.00 + VAT but please be aware there may also be an extra charge if the replacement is not a current Solace member.

Can I get a refund if I decide not to attend?  

Please refer to the terms and conditions of booking.

 

I have difficulty walking/impaired mobility, is the site accessible?

Step-free access and lifts are available at both of our Summit locations. You can read more about accessibility at the Hilton here, and at the Bonus Arena here. If you have any concerns or particular requirements, please feel free to get in touch with our friendly team by emailing events@solace.org.uk  

How do I get from the hotel to the arena?

The Bonus arena is an easy 10-minute walk from the Hilton hotel. You can view the directions here. 

What time should I arrive on the Wednesday?

Face-to-face delegates, you can make your way to the DoubleTree by Hilton from 11:30 to pick up your delegate badge. Make sure you have your QR code ready for us to scan.

This can be accessed via your Solace account.

Will there be Wi-Fi?

Yes, Wi-Fi will be available at both Summit locations. Network details will be displayed around the venue, but if in doubt, ask a member of staff. 

Is parking available?

Parking is available at the DoubleTree by Hilton. The rate for parking is £10 per 24 hours or £5 as a day delegate.

Can I bring bags to the Bonus Arena?

As per the Bonus Arena’s policy, bags over A3 size cannot be bought into the venue and all bags of any size will be searched upon entry to the Bonus Arena.

We know many of you will be heading straight home after the Summit has finished on the Friday and ask that you leave your suitcases in the luggage room of your hotel.

Evening Events

Can anyone attend An Evening with Solace?

All delegates with an individual ticket are welcome to join us for An Evening with Solace. There’s no need to RSVP, simply pop by and join us on the 13thThe dress code for this event is smart-casual. 

Where is 'An Evening with Solace' taking place?

An Evening with Solace is taking place at the DoubleTree by Hilton, just outside of the ballroom. A member of staff from the Hilton will be able to help direct you.

Where is the Summit dinner taking place?

The Summit dinner is taking place in the Ballroom at the DoubleTree by Hilton.

Does my ticket include access to the Summit dinner on the Thursday?

If you have an individual ticket, this includes a reservation for to the drinks reception and dinner on Thursday evening. Formal dress is encouraged.

Is seating allocated at the Summit dinner on Thursday?

A small number of seats will be allocated. If this applies to you, then rest assured we will be in touch. The majority of seats are up for grabs, so find some friends and pull up a chair. 

I have food allergies/dietary requirements, who do I notify?

Allergies and dietary requirements should have been advised at the point of booking. However, if you need to make a change, please do so at your earliest convenience by emailing events@solace.org.uk

Your safety is paramount to us at Summit. The event will be following all current guidelines and laws. See below for venue-specific rules.

What to expect

The Hilton are following local guidelines and laws. Please be aware, this means that social distancing measures such as one-way systems are no longer in place. However, we recommend you do your best to adhere to social distancing, for your safety and the safety of other delegates.

Top tips

If you are staying at the Hilton, contactless check in is available. We recommend downloading the Hilton app available here. For those staying at the Holiday Inn, you can find their guidance here. 

Masks are recommended in public areas. The venue will not be providing masks, so please bring your own. 

Hull Bonus Arena COVID Policies

What to expect

The Bonus Arena is operating under the most up to date Government guidance and legislation in place supported by ASM Global’s environmental hygiene protocol – VenueShield.

Top tips

Prior to entry, we recommend you download the COVID Pass App or have proof of vaccination available. If you have not received your full vaccination, you must produce a negative lateral flow test, proof of a negative PCR test or proof of COVID infection within the last 6 months (e.g., an email)  

We ask all delegates to ensure they frequently sanitise their hands using the gel provided at the venue 

Masks will not be provided by the venue, so we recommend you bring a mask to wear in communal areas. 

Please be aware, security staff at the Hull Bonus Arena will be performing spot tests on 1 in 10 attendees to ensure the safety of all delegates and staff.
